Job Summary: This role coordinates, supports, and implements a variety of programs for adults and other audiences offered through Denver Botanic Gardens School of Botanical Art & Illustration, including, but not limited to, classes, events, workshops, lectures, tours, group travel, and other educational experiences, whether delivered in-person or via a remote learning environment. Works with teaching artists and other instructors to deliver program content that fosters an understanding of scientific illustration as well as of broader arts media to connect people to the natural world through art. Highlighted media in the illustration curriculum includes graphite, pen/ink, colored pencil, and watercolor. With a keen eye for detail and proactive planning, the coordinator oversees program logistics, keeps accurate records, and communicates with instructors and students.

Career Type: Full-Time

Compensation: $19.23-$24.04 per hour

Qualifications/Experience: Experience developing and delivering educational programs in a museum, university, or K-12 environment, complete with administrative detail management. Bachelors degree or higher from college or university with a concentration in scientific illustration, natural sciences, art, botany, education, art history, museum studies, or related field preferred, or the equivalent combination of education and experience. Understanding of and demonstrated ability in visual art is helpful. Spanish language capacity desired. Must be capable of working independently and in a team environment, maintain attention to detail and accurate records and schedules. Some evening and weekend work is required. Familiarity with Microsoft Windows-based systems and Microsoft Office software (Word, Excel, Outlook) and the ability to learn needed software & databases is required. Previous experience working with volunteers and/or in informal education is desirable. Experience with ATMS+ software is a plus.

Essential Job Duties:
  • Support the Manager of the School of Botanical Art & Illustration to implement and evaluate quality program offerings within the School of Botanical Art & Illustration, including creating course concepts, writing course descriptions, identifying teaching faculty, and scheduling facilities.
  • Support teachers and students in online and in-person settings. Includes online program moderation.
  • Respond to student questions and needs in a timely manner.
  • Accurately schedule, record, and communicate programs, facilities, instructors, resources, registrations, and other data to stakeholders.
  • Order supplies for the School and its students; manage inventory accordingly.
  • Support production of semi-annual course catalogs and e-newsletters.
  • Maintain student records; verify prerequisites have been met.
  • Register students if needed; monitor and manage waiting lists.
  • Provide student transcripts as necessary.
  • Create and provide class rosters to all instructors.
  • Send reminder emails to each registrant prior to the start of the upcoming class.
  • Distribute course/instructor evaluations to students; share results with instructors.
  • Write and coordinate content for course descriptions, syllabi, brochures, flyers, website, and other materials.
  • Understand, track, and work to complete budgetary goals set by the supervisor by maintaining up-to-date records and spreadsheets.
  • Maintain files, keep records, and prepare reports as needed.
  • Identify partnership opportunities and foster relationships for programming.

Other Job Duties:
  • Assist with travel arrangements, accommodations, and payment for visiting artists and speakers.
  • Work with Exhibitions staff to coordinate on-site and off-site student exhibitions.
  • Support events such as receptions and student graduation coordination.
  • Facilitate growth of the certificate, diploma, and distance learning programs.
  • Assist the marketing and education teams in developing and improving marketing plans and strategies.
  • Assist with appropriate content for the programs social media page.
  • Deliver presentations, training, and programs as needed.
  • Coordinate and supervise volunteers as part of the Exhibitions, Art & Learning Engagement team, including regular information-sharing and communication.
  • Work with all departments to assure the highest quality experience for all DBG visitors.
  • Maintain satisfactory working relationships with managers, co-workers, and others.
  • Maintain a positive, helpful, and -oriented demeanor when responding to or serving members and visitors.
  • Perform other duties as requested by management.
