The Burroughs Wellcome Fund (BWF) is an independent private foundation established to advance the biomedical and medical sciences by supporting research and other scientific and educational activities. The majority of the Fund's grants are channeled through competitive award programs under the review of external advisory panels. The Fund's assets currently exceed $880 million and annual grants are approximately $40 million. We are currently recruiting for an exciting opportunity for a Program Associate to join our dynamic team in our headquarters in Research Triangle Park, NC.

Job Summary:

The Program Associate plans and manages all operational processes and activities for designated BWF competitive and adhoc award programs and assists a Program Officer in the execution of other program-related activities in targeted areas of biomedical research. The Program Associate's primary responsibility includes management of the application and review process, management of the grant portfolios, and communication with grantees and scientific advisory committee members. This position reports to a Senior Program Officer and supports programs in infectious diseases, climate change and human health, and career development.

Major Job Responsibilities:
  • Prepare applications and related materials for review by Program Officer.
  • Process and review applications to assure compliance to eligibility Work with applicants' post-submission to address issues and/or concerns related to submitted applications. Bring items in question to the attention of the Program Officer.
  • Serve as a well-informed and highly responsive primary point of contact for applicants and grantees.
  • Maintain and ensure accurate and current grants-related data into the Fund's grants management system. Coordinate other data entry tasks as needed.
  • Prepare statistical reports from applicant and grantee.
  • Provide review committees with access to proposals through the proposal review system and manage the process to ensure timely submission of reviews.
  • Manage activities related to the administration of active grants, including communication. Develop and manage payment schedules, deliverables and grant modifications. Track grants to ensure compliance to payments and reporting schedules.
  • Work with Program Officer to address requests from grantees.
  • Responsible for management of annual and final reports from grantees. Prepare reports of grant status.
  • Work with program staff to research, evaluate, and implement efficient processes for grants administration.
  • Use internal and external databases, reference materials, and other resources to research, retrieve, compile data, and generate routine and ad hoc reports for program-related areas.
  • Respond, verbally and in writing ,to requests for information on program-related areas.
  • Work with Program Officer and Meeting Planner to develop plans for meetings of scientific advisory committees, and sometimes participate in planning of other events and meetings. Periodic travel to designated meetings may be necessary.
  • Work well in a flexible team environment with other members of the programs, communications, information technology, meetings, finance, and administrative staff groups on issues related to grant systems, grants management, service to our awardee community, and related policies.
  • Work with Program Officer and Program Assistant to develop briefing books for advisory committee meetings.
  • Participate in and supports new program development activities.
  • Co-supervise a Program Assistant with another Program Associate in the execution of grants management systems and processes
  • Participate in training and staff/professional development.


Qualifications:

Required:
  • A BS or MS degree with at least five years of post-baccalaureate non-trainee work experience of increasing responsibility, preferably in a scientific setting. Previous project management experience is a plus.
  • Self-motivated to work efficiently with a high level of accuracy. Data entry, data checking, and data reporting are core responsibilities of this position.
  • Experience with Microsoft Office products (Word, Excel, PowerPoint, Outlook) and Adobe and the ability to learn and become proficient with software used by the organization.
  • Adaptable to evolving technology and proficiency with videoconferencing platforms.
  • High level of attention to detail.
  • Demonstrated analytical skills.
  • Highly organized with experience working on multiple concurrent projects.
  • Strong interpersonal, oral and written communication skills.
  • Ability to communicate clearly, concisely and professionally with a wide range of constituencies in a diverse community.
  • Ability to work independently and make decisions in a complex setting.
  • Ability to utilize knowledge and skills to prioritize projects, requests and assignments appropriately to meet multiple and sometimes conflicting deadlines.
  • Ability to proactively identify problems and potential solutions.
  • Ability to work in a team environment to meet program goals.

Preferred:
  • Experience in at least one programming language or data analytics
  • Experience with data visualization tools.
  • Experience with grantmaking and/or grant management/administration.
  • Experience with grants management database(s) or other relational database(s).
  • Previous supervisory experience and training.
